Role Purpose

The successful candidates will manage and execute procurement requests according to the TASEZ procurement plan. You will ensure that all buying activities are efficient, transparent, and meet the needs of the organization.

Key Responsibilities

Tender and Quote Management

  • Ensure all procurement follows TASEZ policies and National Treasury guidelines.
  • Prepare lists of suppliers for rotational invitations.
  • Review and authorize purchase requisitions before starting procurement.
  • Manage the Request for Quotation (RFQ) and Request for Proposal (RFP) process from start to finish.
  • Organize site inspections, briefing meetings, and Bid Specification Committee meetings, including taking minutes.
  • Securely collect and store tender documents and monitor the dedicated supply chain email inbox.
  • Create purchase orders for recommended suppliers.

Evaluation and Administration

  • Schedule and organize Bid Evaluation and Adjudication Committee meetings.
  • Distribute agendas, record minutes, and manage attendance registers.
  • Ensure all participants sign confidentiality and declaration of interest forms.
  • Maintain organized files of all meeting minutes and decisions.

Post-Award Duties

  • Prepare and send appointment and regret letters to bidders.
  • Review file records against internal control checklists.
  • Update purchase order information for expenditure reporting and analysis.
  • Manage the safe storage and archiving of procurement documents.

Supplier Information

  • Verify that suppliers are registered on the Central Supplier Database (CSD).
  • Ensure suppliers are not blacklisted by the National Treasury before making awards.
  • Maintain an accurate register of all contracts, RFQs, and RFPs.
  • Prepare documentation and files for audits.

Requirements

  • Education: National Diploma in Supply Chain Management, Public Management, or Administration. A Degree in Supply Chain Management is an advantage.
  • Experience: At least 2 years of operational procurement experience in either the public or private sector.
  • Knowledge: Strong understanding of procurement processes, particularly within the South African public sector.

Skills and Attributes

  • Proficiency in Microsoft Office Suite.
  • High level of honesty and a strong work ethic.
  • Excellent attention to detail and organizational skills.
  • Ability to work well within a team and adapt to changing needs.
  • Persistence and determination to meet objectives.
