Job Description

As Branch Co-ordinator, you are the steady centre of our laboratory and Care Centre operations. You coordinate end-to-end administrative processes with calm precision, hold overall accountability for administrative workflows, and step in decisively to prevent delays or resolve complex, escalated matters. Your work enables timely specimen processing, accurate result delivery, and a seamless experience for patients, clinicians, and colleagues.

Role Requirements

A completed Grade 12 is essential. This foundation equips you to manage complex administrative workflows, interpret procedures accurately, and communicate clearly across clinical and support environments. You bring three or more years of experience in an administrative role within time‑critical, service‑driven environments, preferably in a pathology laboratory or pathology care centre. You are comfortable owning the flow of work from start to finish, and you have a proven ability to resolve issues, prioritise effectively, and manage competing deadlines without losing sight of quality, compliance, or the people experience. You understand how operational details connect to patient care and stakeholder trust, and you balance speed with accuracy in everything you do.

You are proactive and solutions‑focused, spotting potential delays early and taking thoughtful action to keep operations moving. Your coordination skills are exceptional: you organise, sequence, and track tasks so that administrative activities support timely processing and reliable outcomes. Your attention to quality and detail is consistently high, and you take pride in accurate, compliant, and professional work. You build strong, respectful relationships with colleagues, leaders, clinicians, suppliers, and patients, using clear and courteous communication in person, on the phone, and in writing. You manage your time well, handle multiple priorities with composure, and maintain professionalism in fast‑paced or high‑pressure moments. You model best practice, whether in process discipline, documentation, or system use, so others can follow with confidence. You handle confidential information with impeccable discretion and in line with organisational policies. You are confident using relevant IT systems, including laboratory information systems and standard office applications, to capture data, monitor progress, and report trends.

In addition to technical strength, you bring people leadership in action. You can coordinate a small team’s workflow, plan rosters, align tasks to operational priorities, and maintain attendance and process adherence with fairness and clarity. You hold constructive performance conversations, support colleagues when matters escalate, and create a space where feedback is shared, learning is encouraged, and accountability feels empowering.

Role Impact

Your coordination keeps the branch running smoothly and reliably. Day to day, you orchestrate administrative workflows that enable urgent and routine specimens to move through the process without delay. You liaise across departments and with external partners to make sure each handover is clear, each requirement is met, and each task is completed on time. You uphold document control procedures, monitor trends, and translate insights into corrective actions that prevent repeat errors. You step in to troubleshoot complex or escalated issues, bringing calm, clarity, and a solutions mindset that protects service quality and strengthens trust.You also contribute directly to high‑quality patient and clinician experiences. You assist with forms and requests, generate the necessary documentation, respond promptly to enquiries, and capture and verify information in the laboratory information system with precision. You manage upfront logging and benefit checks, perform audit corrections where needed, and ensure that specimens are received, labelled, shipped, and batched correctly. You update requests when changes are required and follow through on outstanding items so nothing is left unresolved.
