Senior HR Officer - Rosslyn Snacks Factory

National Brands Limited (NBL) invites applications for the position of Senior HR Officer at our Rosslyn Snacks Factory in Pretoria, Gauteng. This role offers a dynamic opportunity to contribute to producing South Africa's most iconic snacks, including Willards chips, Big Korn Bites, and Cheese Curls, within a fast-paced, collaborative environment.

Reporting Structure

This position reports to the Human Resources Manager.

Key Areas of Impact

HR Administration and Reporting

  • Manage all employee lifecycle administration: new engagements, benefits, changes, leave analysis, terminations.
  • Process general employee and manager queries and requests.
  • Maintain accurate organograms on a monthly basis.
  • Conduct exit interviews and report insights to the business.
  • Ensure high-standard customer service aligned with HR policies and procedures.
  • Develop and update job profiles for all employees in the Job Profile portal.
  • Coordinate HR project deliverables, including reward and recognition initiatives.
  • Ensure adherence to HR Audit requirements.
  • Develop ad-hoc reports as required.
  • Audit and sign off monthly payroll variances, resolving discrepancies.
  • Liaise with employees on Death and Disability claims.
  • Manage long service allowances, generate reports, arrange certificates and framing.
  • Provide employees with confirmation of employment letters, payslips, service letters, visa letters, UIF, and Medical Aid documentation.

HRIS System Administration

  • Perform integrity checks on HRIS master data for completeness and accuracy.
  • Conduct quarterly reviews of HRIS access rights against roles and responsibilities.
  • Follow workflow processes, load data, and follow up on outstanding information.
  • Address general HRIS system queries from management and employees.
  • Provide SAP support to Line Managers.

Performance Management

  • Provide employees with performance management documentation.
  • Ensure all Key Performance Areas (IPAs) are received timely for Annual Increases, capturing ratings on SAP, and follow up on outstanding IPAs.
  • Provide guidelines on managing performance and address queries from employees and management.
  • Monitor progress and promote employee development through performance systems.

Learning and Development

  • Facilitate identification of learning needs and arrange necessary training.
  • Ensure employees have Personal Development Plans (PDPs).
  • Compile Work Skills Plans (WSP) and Annual Training Reports (ATR).
  • Compile an annual training calendar.
  • Arrange training events and ensure all documentation is completed.
  • Ensure training is captured on SAP.
  • Ensure proper record keeping of training events.
  • Track and submit business unit training initiatives to the Learning and Development team.

Employee Relations

  • Set up internal disciplinary hearings, appeals, and grievance meetings, taking minutes as required.
  • Prepare documentation for Disciplinary Hearings and CCMA cases.
  • Ensure disciplinary and grievance processes adhere to company policies.
  • Assist with CCMA cases by collecting and analysing information.
  • Arrange monthly Management and Shop Steward meetings, ensuring actions are followed up.
  • Administrate union membership and communicate statistical information.
  • Participate in collective employment relations processes.
  • Ensure manning standards are updated monthly.
  • Report on employee relations information.
  • Advise line managers on appropriate employee relations processes.
  • Ensure correct incapacity and disability processes are followed.

Remuneration and Rewards

  • Complete the weekly payroll process according to procedures.
  • Perform payroll audit checks.
  • Compile and analyse reports using available system data.

Communication

  • Arrange quarterly employee communication sessions.
  • Arrange monthly union feedback sessions.
  • Draft internal communications to employees.
  • Arrange monthly middle management communication sessions.
  • Ensure information is communicated via notice boards and electronic platforms.

Recruitment, Selection and On-Boarding

  • Assist management in drafting job profiles, vacancy packages, and parameters.
  • Ensure the recruitment process is followed from start to end to recruit effectively and reduce turnover.
  • Discuss shortlists with line managers and the recruitment lead. Conduct interviews with management and recruitment.
  • Propose recommended starting salary options based on internal and market comparison.
  • Request and check the Letter of Appointment, providing all necessary information to the recruiter before the manager signs.
  • Manage the onboarding of successful candidates and take-on documentation.
  • Manage the induction process and ensure new employee orientation takes place.

Employee Assistance Programme

  • Coordinate administration around the employee wellness plan, including communication of the Lyra offering.
  • Provide input and suggestions when setting up wellness initiatives, overseeing and managing them.

What It Takes to Succeed

Experience

  • Minimum of 8 years' HR generalist experience within a manufacturing environment is essential.
  • Experience in HR Administration, Payroll, Employee Relations, Performance Management, and Disciplinary procedures.
  • Experience within the FMCG industry.

Qualifications & Certifications

  • Completed Degree in Human Resources Management or Labour Relations.
  • Completed Honours Degree in Human Resources Management is advantageous.
  • Completed Effective Leadership course with a recognized institution is an added advantage.

Additional Requirements

  • Knowledge of Industrial Relations practices.
  • Knowledge of Interviewing skills.
  • Knowledge of different HR disciplines (HR Value Chain).
  • Knowledge of HR Systems (SAP and BesTime).
  • Computer Literacy: MS Office, Excel, and Outlook.
  • Knowledge of Labour Legislation.
