Job Title: Project Coordinator (TASEZ Training Academy Division)

Purpose of the Role

The Project Coordinator will organize project details and assignments for team members. You will act as the primary link between the project team and the Project Manager to ensure all tasks are completed efficiently.

Key Responsibilities

General Project Administration:

  • Monitor project scope changes and track key milestones.
  • Organize meetings, workshops, and engagements with stakeholders.
  • Manage project calendars and follow up on team tasks.
  • Maintain all project documentation and ensure proper filing.
  • Coordinate resources, equipment, and sub-contractors.
  • Prepare regular reports and ensure adherence to company procedures.

Quality Control:

  • Conduct daily quality inspections and keep accurate records.
  • Ensure all work meets required quality standards and project specifications.
  • Develop inspection plans for building maintenance services.
  • Provide regular status updates to staff and end-users regarding maintenance work.
  • Monitor contractor performance to ensure they meet Service Level Agreements (SLAs).

Client Liaison & Finance:

  • Provide regular feedback to clients and ensure high levels of satisfaction.
  • Manage the invoicing process, including processing quotes and work orders.
  • Ensure contractors submit invoices on time with correct details (PO numbers, VAT, etc.).

Required Competencies and Skills

  • Proficiency in Microsoft Excel and QuickBooks.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Strong mathematical and interpersonal skills.
  • High level of efficiency and attention to detail.

Qualifications

  • Degree or Diploma in Project Management, Public Administration, Business Administration, or a related field.
  • Professional certification such as PMP (Project Management Professional) or PRINCE2 is highly preferred.
  • Strong computer literacy, especially in Microsoft Office programs.
